Minutes of the November 17, 2004 Business Meeting

In Attendance: Gordon, Derian, Ursula, Alanna, Rosalind, Eleanor, Judith, Badger, Sonnet and Misty

Eleanor: Long range event date planning

Madrone has noticed that some event dates are already showing up on the online calendar for 2006. They asked the Kingdom calendar deputy for clarification since we were under the impression that reservations could only be made a year in advance. Word back was that Kingdom Law reads “events will not be published more than a year out” which the current deputy is interpreting as “printed in the Crier” but he is willing to reserve dates on the online calendar further out than this. So Madrone is beginning to plan dates of traditional events long range (2006 & possibly 7) and encourages us to do the same so we get dates. They are viewing these as "placeholders" that can always be released later if no autocrat steps forward.

At the last meeting we discussed the date of Saturday, April 9 for Spring Fling. This was confirmed and paperwork will be sent in shortly.

Tacky Tourney: The Barony had suggested July 10. This is intentionally the day after Peasants Revel due to a very full June/July calendar and their Excellencies’ absence in August (due in large part to Pennsic). After discussion we decided that the calendar is so full and not enough students know whether or not they will even be around over the summer that we are not going to try for a summer event at this time. We agreed that maybe we should try to have some get-togethers at other events (event-within-an-event) or just a project/social session at someone’s home.

Next Feast of St. Bunstable planning suggested by the Barony. Again we decided that our populace size and energy levels vary too much from year to year to plan that far out – even just grabbing dates. We agreed that revisiting the issue in June before summer break or in Sept/Oct for a Jan event was good, though.

Eleanor: Feast of St. Bunstable update

• B&B will be in attendance. Do want a high table and a court – scheduled for after dinner
• Event Copy has gone out
• Talked with a Sean O’Conner and Anne-Marie at the Madrone business meeting about pewter and equestrian A&S displays – definitely interested. I will put out general call for more displays and entertainment soon.
• official budget proposal to make the exchequer happy: no income, $90 food, $45 vinyl banner of device and miscellaneous expenses for a total of approximately -$150 (after 10% expense increase requested on event budget form) A motion to approve the budget was made, seconded and passed unanimously.
• Judith volunteered to help and was asked to run gate at the event, which she agreed to do.
• Working on an official invitation for Fiach
• Thought it would be nice to have Dieter announce the upcoming A&S competition so people know about it.

Eleanor: Update on Financial Stuff

We currently have about $900 and I think there is still a tithe from the barony to us of about $400 that has not been “transferred” yet – not sure what the hold-up is. In the larger picture, Baronial finances have become a bit tighter over the last year. They are no longer involved in doing Kent Canterbury Fair as a demo, so have lost the revenue they used to get for that. Events have been doing very well at breaking even or making a small profit, but not enough to cover overhead costs (storage locker, post office box, officer budgets, etc.) Ways to cover the difference so they are not operating in the red are being discussed, but no firm plan has emerged yet. One way this affects us is that we will probably not be getting anymore tithes from the Barony to us after the current one. Apparently this practice started at a time when the Barony had a larger balance and was paying us out of the interest they were earning. However it has gotten to the point where they are digging into principle/capital to pay us, which the exchequer doesn’t think is a good idea. So although we have plenty of funds now we should not be expecting our balance to continue going up without us doing anything to cause it to.

Light of St. Bunstable Award

We discussed making sure that voting for the Light of St. Bunstable Award is publicized early this year and that a firm recommendation due date be set and a reminder notice sent a few days prior to that date. As the last recipient Gordon will be responsible for soliciting votes and passing them on to the Baron and Baroness.

Announcements from Gordon:

• May Crown is in Bend, OR this year. If you are thinking of going start planning now so you have enough clothes – it will probably be cold [several minutes were then spent reminiscing about other cold/wet/snowy/miserable May Crowns]
• Non-breakable, portable examples of A&S work as largess for them to give away during their travels around the kingdom. Madrone is sponsoring a display with the option for Laural comments at 12th Night if you are interested in donating.
• Speaking of 12th Night, it is in Bellingham and Gordon has a room in the main hotel that people are welcome to stash stuff in or sleep on the floor. [several people then piped up that they were thinking of day tripping]
• Kingdom A&S is coming up at a resort in Canada [didn’t catch when or where exactly – but it was described as “further than Vancouver but closer than Clinton”] with reasonably decent room rates. This is a really good place to meet people and talk with those who do things you are interested in but don’t live in your area.

Domesday Boke

Timeline of dates: drafts due at or shortly after 12th Night (Jan 7-9), final pages due: March 15

Our Planned pages (in order) are with the person responsible for initial drafting:

1. Achievement w/ branch name and blazon [Rosalind]
2. Map [Mika aka Misty]
3. Light of St. Bunstable Recipients [Eleanor]
   Based off an old roll of the order of the garter(?) seen by Badger - basically an armored knight holding a banner/sign with all members of the order on it.
4. Abbreviated legend of St. Bunstable [????]
   Page will be divided into two text columns by three pillars with an arch over them. Artwork ideas for inside the arch included a monk pouring a beverage out of a keg or a scholar bent over a book with a mug of beer on a table behind/next to him (both based on period woodcuts). We need someone to reduce the text of the legend to something that will fit, but no one at the meeting was willing to commit. This may be done by committee at a work party.
5. Roll of Arms of the College populace [Ursula]
   We think 6 pages a realistic number for us to be able to do (and don’t have any ideas for other pages), so we will be giving the remaining two pages of our 8 page allotment back to the Barony. Eleanor will also be checking on the size of the pages (specifically the working area) and whether pages will be facing (i.e. double sided) or not (single sided) as this may change the order of our pages. Eleanor will also contact Genevieve about scheduling a Domesday Boke workshop that she can attend.

   • Page Size - Format Pages should be within a working area of *8 1/4"* X *12" for all your illumination and calligraphy.* The kind of paper you use *for your drafts* does not matter, however graph paper is easier to do layouts on and to use later if you want to trace what you have on a light board onto the real pages. You also may be influenced on how easy it is to calligraphy on the paper being used for the drafts.
