Campus Girl Scouts University of Washington Meeting Minutes Jan 12, 1999 6:30 PM HUB (Husky Union Building) 209B Facilitator: Suzanne Snyder Note Taker: Hannah Tang Timekeeper: Angelina Ramirez Present: Jessica Tang, Paula Ewing (guest), Stephanie Richardson, Lori Kenyon, Kristen, Leanne Gilly ______________________________________________________________________________________________________ Partnership with Women in Science and Engineering As a member of WiSE, Hannah is our contact person. She has not yet contacted them. ACTIONS: Tabled until next meeting. Funding/Financial Accounts We have selected Washington Mutual Bank. Washington Mutual provides convenience, with 2 branches close to campus, and offers a free checking account. To raise revenue for the organization, we will currently ask members to 'chip in' for specific events and begin charging membership dues at the beginning of the next school/scouting year. CONCLUSIONS: Since we do not have any funds at the moment, we will delay starting an account. Membership dues will be $13, which does not include yearly membership dues for GSUSA ($7). ACTIONS: None Club Accreditation Jessica is currently gathering information about UW's requirements for a club. We are able to declare at anytime during the school year; however, mailboxes and offices are assigned at the beginning of the year, so we would not be eligible for these until next October. The HUB sub-basement (where student organization offices are located) is very cramped and without a large membership/seniority, Campus Girl Scouts will probably be unable to obtain one. Office space in the South Campus Center may be easier to attain. See below (Constitution & Officers) for further information. ACTIONS: Jessica will send Angelina a copy of the UW requirements for review. Constitution One of the UW's requirements for clubs is a constitution. We will dedicate our next meeting (Tuesday, Feb 9, 3:30-5:30) to examining Totem Council's constitution and making appropriate changes for Campus Scouts. Our proposed timeline for the constitution is this: February - review other documents and brainstorm changes/additions. Draft our own constitution. March - Review and refine the draft. April - Submit to UW for approval. May - Hopefully, we will be approved by UW. Celebration of accreditation (see Investiture/Rededication below). ACTIONS: Angelina will bring a copy of Totem Council's constitution, as well as any other information regarding Campus Scouts, to the next meeting. Officers UW also requires 5 officers before accreditation can happen. We have decided on the following positions: Executive Facilitator, Communications Officer, Community Service Coordinator, Secretary, Treasurer, and Social & Outdoor Specialist. The name 'Executive Facilitator' was chosen because it was felt that it reflected the democratic nature of Scouting better than 'President'. The Communications Officer will be in charge of creating and posting flyers, and writing promotional 'blurbs' for Totem Council publications. The Community Service Coordinator will work to find community service opportunities for members of Campus Girl Scouts, both service for individuals, and service projects for the organization as a whole. It was proposed that the Secretary be a 'rotating' position, since the only requirements are to take notes during meetings and type them up. It was also proposed that the Secretary and the Finance Coordinator (who would be responsible for the bank account, once it has been opened) positions be combined, since individually they are not difficult. The Social & Outdoor Specialist will have the responsibility of planning social and outdoor events, since Campus Girl Scouts is also meant to be a social group. Since we are still a small organization, some people may fill more than one position. However, we will keep these positions separate, in case of future expansion. CONCLUSIONS: We have come to tentative agreement about the above officer titles and descriptions. Whether has the Secretary position will be rotated has not yet been decided. ACTIONS: None Investiture/Rededication Since we are still a small group, and we have not yet been accredited, an investiture/rededication ceremony would probably not serve much purpose. It was recommended to postpone it until May as a celebration of our accreditation, as well as a major recruiting event. ACTIONS: None. Meeting Dates/Rooms Tuesday seems to be the best day for everyone. Because several members are commuters, it was requested that meetings be held earlier in the day. Also, several prospective members have Tuesday evening conflicts. We are looking for another place other than the HUB to hold meetings, since we are not yet a club at UW yet. CONCLUSIONS: We have moved meeting times to Tuesday afternoons, from 3:30 - 5:30. Our next meeting will be Tuesday, Feb 9, 3:30 - 5:30. The meeting room is to be announced. ACTIONS: None Cookies Campus Girl Scouts, as registered adults, do not sell Girl Scout cookies. In addition, strict UW policy forbids the selling of products on campus. If individual members wish to aid a girl in her sales, it would be a personal decision. ACTIONS: None. Future Events Angelina brought information about several volunteering opportunities for us to look at. Among them included: WROC, Northend Coalition, GAC (Girls at the Center), Sound Promise to Youth. In addition, there will be an encampment at Camp Lyle McLeod on Mother's Day weekend (May 7-9) that is seeking adult volunteers. There was recommendation of a pajama party. ACTIONS: None. Meeting adjourned at 8:10 PM
