Student Organization Funding
Annual Budget Allocation Procedure
1. Register the law school student organization with the UW Student Activities Office as a Registered Student Organization (RSO) to qualify for an annual budget allocation.
2. Complete the budget request form, and include the student organization's charter, constitution, or bylaws (the budget request form will be provided by the SBA treasurer)
3. when completing the budget request form, bear in mind the following funding restrictions:
a. the SBA may not reimburse student organizations for student tickets to events sponsored by UWLS or UWLS RSO's; and
b. RSO's may not use their annual budget allocations for student conferences, competitions, or travel expenses (instead, RSO's may seek conference funding from the law school's student conference fund or request supplemental funds from the SBA)
Reimbursement Request Procedure
1. Individuals and RSOs may only be reimbursed with SBA funds for approved expenses (those approved in the RSO budget).
2. Complete a Reimbursement Request Form (located in the SBA treasurer's mail folder), and include relevant receipts and/or completed Perjury Statements
3. The RSO's president or treasurer must also sign the Reimbursement Form to indicate approval.
4. Submit the Reimbursement Request Form in the SBA Treasurer's mail folder
5. Reimbursements will be reviewed weekly and checks processed approximately once a week
6. Note that reimbursements will not be issued for expenses that exceed the amount allocated by the SBA.
Supplemental Funding Procedure
1. Contact the SBA Treasurer about the request
2. The Treasurer will consult with the RSO regarding the program and amount needed, bearing in mind the RSO's annual allocation, the amount not yet spent, the total funds available to the SBA, and other factors deemed appropriate by the Treasurer
3. RSO must provide a typed, signed proposal to the Treasurer, which includes the following:
a. Amount requested; and
b. Line item breakdown of what the funds would be used for; and
c. Appropriate RSO contact information.
4. The proposal must be received by noon eight days prior to the SBA Board meeting at which the funding proposal would be voted on (i.e. by noon Wednesday the week prior to the proposal's review at the SBA board meeting).
5. The Treasurer will submit the funding request to the SBA Board and make a recommendation at the meeting the week prior to the SBA vote (the one-week delay between recommendation and voting may be waived by a 2/3 majority vote of the SBA board members present)
6. The RSO requesting supplemental funding is responsible for contacting the SBA President or Treasurer in order to determine the disposition of their request. Notification of funding approval received from any other person will not be binding.
