Constitution of the Indian Student Association

Article I – Name

Section 1

The name of this organization shall be Indian Student Association.

Article II – Purpose

Section 1

It shall be the purpose of this organization to promote South Asian culture and awareness around the University of Washington campus and greater Seattle area.

Article III – Affiliations

Section 1

This organization will not be affiliated with any national, regional, or other groups.

Article IV – Membership

Section 1

The majority of the membership of this organization shall consist of regularly enrolled undergraduate and graduate students of the University of Washington. Only those members who are currently registered University of Washington students have voting privileges.

Article V – Officers

Section 1

The officers of this organization shall consist of: President, Vice-President, Secretary, Treasurer, ASUW Senator, Public Relations Chair, Events Chair, Community Relations Chair, Webmaster, Historian and Freshman Representative.

Section 2

The President shall be the chief officer of the organization and shall preside over all meetings of the organization. The President is responsible for directing the overall operations of the organization, including delegating responsibilities of officers and committees. The President and the Treasurer shall sign all written contracts and obligations of the organization, including maintaining the organization’s checking account. The President shall be the primary representative of the organization, unless otherwise delegated. The President must have one year previous experience on ISA.

The Vice President shall be vested with all the powers and shall perform all the duties of the President in the absence of the latter. The Vice President shall assist the President in coordinating and directing committee activities and organization operations and shall assist other officers with the completion of their duties as delegated by the President. The Vice President shall also serve as a counselor to the President by recommending goals, objectives, plans and programs. The Vice President shall assist and direct other officers with the completion of their duties as delegated by the President. The Vice President must have one year previous experience on ISA.

The Secretary shall keep a true and accurate record of all proceedings of the organization and administer the appropriate distribution of these records. The secretary shall prepare agendas with the assistance of the President. The secretary shall have primary responsibility for organization correspondence. The Secretary is responsible for maintaining a detailed record of organization members. The Secretary shall take appropriate steps to modify all existing records of changes in organization officers, advisors, and other relevant information. The Secretary shall assist other officers with the completion of their duties as delegated by the President.

The Treasurer shall receive and deposit in the name of the organization, in a bank or trust company, all money; issue receipts; make all authorized disbursement. The Treasurer shall work with the President to prepare the annual budget as well as any funding requests. The Treasurer shall take responsibility for all fiscal responsibilities of the organization including co-signing for the organization’s checking account with the President. The Treasurer shall provide safekeeping for all organization funds and keep accurate financial records. The Treasurer shall assist other officers with the completion of their duties as delegated by the President.

The ASUW Senator is responsible for attending all senate meetings organized by the Associated Students of UW. High attendance for these meetings is a requirement. Senator must be able to attend all ASUW meetings and be responsible for conveying messages from ASUW senate meetings to the rest of the officers of the organization. Meetings are held weekly for two hours. The ASUW senator shall assist other officers with the completion of their duties as delegated by the President.

The Public Relations Chair shall produce and execute promotions designed to aid in the recruitment and retention of membership. The public relations officer shall coordinate press releases, feature articles, advertising, brochures, tabling and any other devices in an attempt to maintain a high level of visibility for the organization. The public relations is responsible for promoting organization meetings and events campus-wide. The public relations officer shall take responsibility for the creation and production of all materials used in the promotion process. The public relations officer shall assist other officers with the completion of their duties as delegated by the President.

The Events Chair is responsible for helping oversee organization and execution of ISA events. Events chair will be primarily responsible for reserving rooms, contacting venues, acquiring and filling out necessary paperwork for room/venue reservations, and setting up and organizing tabling schedules. The Events Chairperson shall assist other officers with the completion of their duties as delegated by the President.

The Community Relations Chair will work closely with other organizations both on and off campus to organize and plan community events throughout the year while simultaneously working alongside the Events Chairperson to promote ISA’s own events. He or she will also maintain the UWISA email account responding to emails and relaying information from the account to the committee. Community Relations Chair shall assist other officers with the completion of their duties as delegated by the President.

The Webmaster is responsible for overall maintenance and upkeep of the organization website. The Webmaster shall post the latest relevant information concerning the organization events, as well as information to provide the organization members with contact information, etc. The Webmaster shall assist other officers with the completion of their duties as delegated by the President. Prior web designing experience preferred.

The Fundraising chair will be responsible for procuring funding for our activities through events, corporate sponsorships, opportunities, etc. The fundraising chair shall also help other officers with their duties as delegated by the President.

The Freshmen Representatives will be responsible for helping recruit and promote the ISA to freshmen community on the UW campus. The Freshmen Representative shall assist other officers with the completion of their duties as delegated by the President. This position will not be filled until the Autumn quarter.

Section 3

The Term of Office will be one year, from October 1 to September 30.

Section 4

Officers will be removed from their positions at the discretion of the President.

Article VI – Elections

Section 1

Selection of officers shall be held in May. The President will inform the membership of the election meetings. Notification will be given by email and through the website. Members must be notified at least two weeks before the election meetings.

Section 2

Vacancies will be filled at the discretion of the President.

Section 3

Voting will be held by ballot in the absence of an online method.

Article VIII – Meetings

Section 1

Regular meetings of this organization shall be held once a quarter. The President will have the responsibility to notify members of the meeting by email.

Section 2

A quorum shall consist of at least five voting members present at any regular or special meeting.

Article VIII – Executive Board

Section 1

Management of this organization shall be vested in the Officers.

Article IX – Constitutional Amendments

Section 1

The constitution may be amended by a majority vote of the elected Officers at any weekly Officer meeting.
