Meeting Minutes – 8th May 2010
Call to order: A general meeting of the Association of Information Management Students was held in MGH 310D, Seattle, WA on th 8th of May, 2010.
The meeting convened at 1:09 PM, President Jordan Eschler presiding.

Approval of minutes: Motion was made by Jordan and seconded to approve the minutes of the 17th April 2010 meeting.

Officers’ reports:
Technology Officer:
Stuart had nothing to report from the tech side. Will meet with Jordan about some items to follow up on re: priorities for next year.
Program Committee Rep:
Paul updated on the Catalyst survey to gather students willing to be mentors for next year. We put out too many Catalyst surveys last week so we are shooting for this week. Jason asked how we were going to present the time/resource commitment to prospective mentors.
Paul updated on the feedback survey: 45 responses total before the poll closed. This is a better response rate than autumn quarter, but is still lower than we wanted. Ajay indicated that many of the students don’t believe that the survey feedback will help them anyway. Paul responded that we have to invest in the program for the future, and not think about this in terms of our current situation; we discussed enhancing the messaging of the survey in the future.
Paul and Jordan will look at the raw data and take down the highlighted points from the feedback session to share at the next AIMS meeting. Ajay indicated that maybe we could give out hard copy questionnaires at the next round. We also discussed how to determine the best channels for reaching AIMS members using user research.
Paul updated us on the exec applications: the incoming cohort is bound to be strong, with good diversity and lots of experience. Because of this, we should make an effort to link people with similar interests.
Public Relations
Ajay brought up the alumni contacts – we have to set up specific agendas for them to address us. Alumni expect us to provide something in return. Megha responded it would be good to have alumni review resumes and help to find jobs and internships.
Ajay talked about the Jared Spool event: May 20. It is not being advertised. HCDE, CSE don’t know about the event. Poorly publicized. Ajay wanted Pen Stanton to advertise the event better but was unable to meet today.
Exec-Liaison
Jason is figuring out the barbecue transportation, like the bus schedule. A dozen execs were interviewed about AIMS and claimed to not know what AIMS is. In class for 520 today, Samantha Starmer had the class review the AIMS website from a user & from a management standpoint. Ajay reminded Stuart to resurrect the AIMS wiki. People also wanted AIMS to reach out about changes to the program.

Unfinished Business:
Spring BBQ
Brian updated everyone on the barbecue. He has put useful barbecue stuff on the Sharepoint site. Ravenna Park confirmed for Sunday June 6, at 1:00pm. Invitations to professors should go out this week. Advertising – Ajay will be getting the poster template from Nick Malone & Rachel Hungerford; hopefully post by the end of this week. Nick Malone also offered to stand up in May 21 Capstone class and announce the barbecue.
The group discussed fundraising for next year, and finding supplies for the barbecue.
Archer Award
Jordan asked if anyone would order the physical award for the Archer Award. Eric Bell recommended Scott’s Trophy as a vendor. Stuart is going to order the award, and Nick Malone suggested that Stuart contacted Nick Sweers for the wording. Brian and Paul will work out who picks up the award physically as well.

Announcements:
Eric Bell asked for help promoting his Beardraiser – we will advertise a Pub Night for next week. Set for Thursday the 13th.
Plan to ask Kevin to show. Scheduled for Finn MacCools at 7:00pm. Hope to show around his website and evangelize the beardraiser. Invite professors in person, e-mail as many alums as possible.
