May 18, 2007 — Meeting Minutes


Attendees: Kelly Varney, Yen Tran, Melinda Snarr, Michelle Valance, John Bolcer, Rebecca Kuglitsch, Beth Sanderson, Janet Polata

  1. Yen Tran introduced University Archivist John Bolcer, our SAA (Society of American Archivists) advisor.

  2. Kelly Varney thanked this year’s outgoing officers for their work, and particularly for their efforts towards getting the APC chartered as a student chapter of SAA.

  3. Professional meetings: The SAA annual meeting is in Chicago from August 28-September 2. There was a question as to whether there might be funds available for someone from the Club to attend. It was thought unlikely, but this could be a good grant-seeking opportunity for future conferences. . Kelly Varney mentioned that being able to pay only the student registration fee for the SAA conference makes joining SAA worthwhile. John Bolcer mentioned an upcoming Northwest Archivists’ meeting and suggested that there might be attendance scholarships available for their meetings as well as those of other organizations. The funds available vary from year to year, but sometime go ungranted. Kelly Varney mentioned that being able to pay only the student registration fee for the SAA conference makes joining SAA worthwhile

  4. SAA Chapter Status: There has still been no news of whether we have been chartered; Melinda Snarr recommended contacting SAA for an update. Kelly Varney mentioned that we plan to host a happy hour get-together with local SAA members when we are officially chartered; Melinda Snarr asked John Bolcer whether he would be willing to help spread the word. John Bolcer suggested that, once we’re chartered, someone from the club write an article for the Northwest Archivists’ newsletter, of which he is the editor.

  5. MOHAI Tour, May 24: They can take up to ten people, a typical number of attendees for an APC tour. Carolyn Mark, Librarian, and Mary Montgomery, Associate Librarian, will lead the tour. Melinda Snarr suggested focusing on the role of the MOHAI library in preparing the current Essential Seattle exhibit. Michelle Valance suggested advertising that there are a “limited number” of spaces available, and keeping a waiting list as people may cancel. She also suggested sending a reminder shortly before the tour, as people might forget they had planned to attend.

  6. Summer planning: Kelly Varney suggested that next year’s officers hold a meeting (open to any interested members) to discuss ideas for programs in the 2007-2008 year. It was mentioned that representatives of the Association of Library and Information Science Students (ALISS) had considered holding a meeting for all student group officers to coordinate planning and avoid date conflicts etc. Janet Polata will coordinate with ALISS regarding an all-student-groups Google calendar.

  7. 2007/2008 events: Possible events include talks by Special Collections staff, a booth at the annual Archives Fair, and tours of the National Archives and Records Administrations' Sand Point facility as well as other local repositories.

  8. Other items: John Bolcer encourages anyone interested to become active in the regional archival association, Northwest Archivists. Their annual meeting will be held in Anchorage next year, in Portland the following year, and possibly in Seattle the year after. He also said that advance notice is a good practice when announcing events to the Seattle Area Archivists group so that members can get it on their calendars in time. Kelly Varney asked whether students ever went to Seattle Area Archivists meetings; John Bolcer said that it had not been very common, but that some have gone to presentations sponsored by the group.
