June 1, 2005 — Meeting Minutes

Attendees: Carolyn Dunford, Woods Fairbanks, Joshua Franklin, Toby Harris, Linda Wagner  
  1. SHARING EXPERIENCE: The meeting’s purpose was for current 2004-05 officers to share experiences, ideas, and advice with next year’s 2005-06 officers.


  2. DEFINING ROLES: The role of meeting note-taker has not been previously assigned to any one position. It was recommended that this role rotate since attendance at all meetings may not be feasible for each officer based on busy schedules. Publicity has also been a shared responsibility.


  3. RSO: APC is an official UW Student Activities Office (SAO) Registered Student Organization (RSO) [http://depts.washington.edu/sao/rso.php], which entitles it to certain benefits including an email and Web account. hen asked whether APC had ever received funding through the SAO or iSchool, Toby said that it had not, but recommended contacting John Glover for advice if we chose to explore this avenue. Toby passed along some paperwork to Woods about RSOs along with other APC files.


  4. WEB SITE and LISTSERV: Carolyn will contact Lauren Manes about accessing the Web site account and administering the listserv.


  5. SCHEDULING MEETINGS and ACTIVITIES: Toby and Josh recommended that meetings be scheduled around class schedules. Sketching out a grid of course times is helpful. Meetings could occur mid to late afternoons and/or during lunch time (brown bag lunch meetings). Toby suggested that students talk about their directed fieldwork experiences at meetings.


  6. FUTURE ACTIVITIES: The majority of discussion focused on ideas for future activities. Josh and Toby recommended participating in the iSchool’s orientation week for which APC had a booth in 2004 and handed out small magnifying glasses. A heads up was given about National Archives Week, which occurs in early- to mid-October and features programming throughout the state. Josh and Toby also suggested planning an event during iCareer Week, a university-wide program that occurs in January. Following is a list of ideas for future activities including events, lectures, panels, and tours:
    • Film Night (coordinate with Nicolette Bromberg, Visual Collections Curator, UW Libraries)
    • Nicolette Bromberg talk (Nicolette is an engaging speaker)
    • Ran Jimerson talk (Jimerson is SAA president and director of Western Washington University’s archives program. He periodically brings students down from Bellingham and we could schedule a talk to coincide with one of his trips.)
    • Sandra Kroupa Show & Tell (Sandra is with UW Special Collections; Woods knows Sandra)
    • Laurel Sercombe (School of Music’s Ethnomusicology department; fellow iSchool student Jeff Teitelbaum is working with Trent Hill on researching sound archiving)
    • Seattle Public Library’s special collections person
    • Seattle University’s special collections person
    • MOHAI tour or speaker (Woods knows the person who directs the oral history project, Loraine)
    • NARA tour
    • Seattle Municipal Archives tour
    • Suzzallo tour
    • Corbis tour (former iSchool student named Joel works there)
    • Corporate archives tours at Safeco, Boeing, or Weyerhaueser

  7. OUTREACH: In addition to having a booth at the autumn iSchool orientation, APC could also do a short introduction at the beginning of the LIS 505 archives course. Carolyn mentioned that the College of Architecture and Urban Planning may have students who would be interested in APC meetings and activities. Other possible departments include Museology, Art History, Anthropology, and DXARTS (particularly interested in digital archiving and preservation).
