December 02, 2002 — Meeting Minutes

Attendees:  JP Brigham (meeting leader), Jane Gibson, Beth Lahickey, Shannon Lynch, Nic Netzel, Mary Paynton, Gene Polhamus, Kathy Stice, Jen Wolfe (note-taker)

  1. Survey: Mary gave an informal report on the survey results, which were encouraging. 92 responses; 58% are interested in issues related to archiving; 35% expressed interest in joining our group. Mary will prepare a formal report for our second meeting with Mike E.   JP suggested posting the results to iChat and our website.


  2. University Archives Tour:
    • Gene will finalize a date in late January with John Bolcer [Email update from Gene, 12/13: we still need to come up with a date for our tour of the archives, and I have not heard from enough of you. If you do not speak up with a preference, I am going to pick a date and whoever can make it shows up. At the moment, the days of January 15th or 16th look good, as does January 22nd or 23rd. What do you all think? We need to hash this out soon so that I can set it up, okay?]
    • Kathy & Gene will post an invitation to iAnnounce two weeks in advance, then two days in advance; they will also create event flyers to hang up around Mary Gates Hall
    • Jane will have event added to iSchool events page
    • Jen will create flyer promoting membership to APC to distribute at event (to be used for panel also)
    • Beth will create comment cards (to gather responses/ evidence for Mike E meeting) (to be used for panel also)
    • JP will arrange gift


  3. Careers in Archiving and Special Collections Panel:
    • 420 MGH is reserved Weds, Feb. 5, 5:00 – 7:00
    • Jen will contact possible participants
    • Kathy & Gene will post an invitation to iAnnounce two weeks in advance, then two days in advance; they will also create event flyers to hang up around Mary Gates Hall
    • Jane will have event added to iSchool events page
    • JP will make introductory remarks (explain our group, mention membership flyers, comment cards)
    [Email update from Gene, 12/13: University Archivist, John Paul Deley, has agreed to moderate our panel discussion on the 5th of February, and in addition, he has secured three area archivists to speak. In a nutshell, we have Barbara Benson, University records manager, to represent academic archives, Debra Kennedy, archivist for King County, to represent government archives, and Chris Taylor, Chancellor (and former archivist) for the Archdiocese of Seattle, to represent religious archives. In addition, John Paul is working to get someone from Microsoft to speak on corporate/digital archives. However, such a wonderful selection of speakers comes with a small price: John Paul wants your questions to ask the panelists (a moderator needs to ask specific questions after all). The goal is to generate as much discussion and as many different points of view as possible, perhaps even expose areas of disagreement. So, please send in any burning questions you may have, and do not be shy. Ask what tever you want, but do come up with a list of questions to pose to the panelists. Take your time, but think long and hard about specific things that you would like to know about archiving, preservation, digitization, etc. You can send your questions to me at polhamus@u.washington.edu]


  4. Second meeting with Mike: this discussion is tabled until after the upcoming two group events


  5. Spring elections: Shannon & Nic will gather info from Dowell in Student Services on dates & procedures for Spring student group elections


  6. Next meeting: first Friday of Winter quarter (Jan. 10) at 5:00, room TBA – Kathy will reserve. (this is a one-time Friday meeting; we’ll decide on a regular meeting time during the session)
