November 18, 2002 — Meeting Minutes

Attendees:   JP Brigham, Beth Lahickey, Shannon Lynch, Nic Netzel, Gene Polhamus (meeting leader), Scott Rawlings, Marjorie Reeves, Stacy Schulze, Jen Wolfe (note-taker)

New attendees:  The group welcomed new attendees Shannon and Nic.

  1. WWU: Kathleen is dropping out of the group. Marjorie will take over on contacting WWU. Jen will update Marjorie by email.


  2. Survey: Mary was absent, but Gene noted she sent out the survey. She will probably be able to report on the responses at the next meeting.


  3. Budget: Scott reported on contacting SLA to find out about budgets. They receive $750 per year, which works out to $75 a month over the 10-month school period. This covers event-related costs – snacks, speakers, etc. This info will help us with one of the tasks Mike Eisenberg wanted us to complete -- drawing up a budget, including costs we expect to incur, and ways to raise money to meet these costs. This will need to be completed before our next meeting with Mike, as yet unscheduled.


  4. Contact with other UW depts.: Scott reported on contacting other UW departments – he drafted an informational email about our group and sent it to the History and Museology departments. Shannon suggested that the Art History department should be contacted as well.


  5. Panel: while we had decided to host a panel in February as our first group activity, Gene reported that our advisor John Bolcer would prefer that the first event be a tour of the University Archives. Booking the tour for February and pushing the panel back to March was discussed, but it was pointed out that this might be too close to the end of the quarter (last day of instruction is March 14) to attract many attendees. It was suggested to plan both events, since the tour will involve little coordination on our parts, compared to the panel. Gene will see if a late January tour is acceptable to John Bolcer.

    Booking a room: Jane was absent, but she advised by email that she booked MGH 420 for Wednesday, Feb. 5, 2003 from 5:30 to 7:30. This might have to be changed.

    Panel ideas: Scott suggested a digital archiving panel, since it’s more LIS-related, but for the first event it was decided that a a general, introductory panel with a cross-section of different types of archivists might be better. We will keep digital archiving in mind for a later event. Jen will compile names of possible contacts for the panel.


  6. Second meeting with Mike Eisenberg: Gene pointed out that a second meeting with Mike needs to be scheduled, perhaps after our tour and panel.


  7. Group name: this issue was revisited. We had previously decided that we should keep the long-term goal of becoming an official SAA student chapter in mind, so continue referring to ourselves as “[Proposed] SAA-UW.” However, Jen pointed out that this was confusing, since the website and listserv lists the group as our UW registered student organization name, “Archives and Preservation Club.” It was decided for the sake of consistency to use the APC name until we get official approval to become an SAA group.


  8. Next meeting: final meeting before break was set for two weeks – Monday Dec 2, 7:30 pm, room 231 MGH.
