October 21, 2002 — Meeting Minutes

Attendees:   J.P. Brigham, Kathleen Crosman, John Erdmann, Beth Lahickey, Mary Paynton (meeting leader), Gene Polhamus, Julie Staton, Jen Wolfe (note-taker), Stacy Schulze, Kathy Steice

  1. Meeting leaders: The proposed idea of assigning rotating meeting leaders was discussed and agreed upon. Mary agreed to be the first leader (and did an excellent job keeping the meeting on track and under one hour).

    New members: New attendees John and Kathy introduced themselves. Their first-year status offered more hope that our group has potential to continue on next year.


    OLD BUSINESS

  2. Archives club: We discussed issues related to our decision to pursue status as a UW registered student organization (RSO) while working on approval from SAA and the iSchool to become an SAA student chapter. Decisions reached were:
    • Our temporary name -- Archives and Preservation Club at the UW (APC-UW)
    • The draft of our RSO constitution would be revised to reflect this change
    • Five members would sign the application and provide copies of their student IDs
    • Jen would drop the documents off at the Student Activities Organization office before this year’s deadline (10/31)


  3. SLA student org open house: Jen and Kathleen reported on representing our group at the SLA-hosted student organization open house. Flyers and cupcakes were handed out, interest was shown. JP suggested starting an archive of all the group’s flyers and related documents.


  4. Student interest survey: Mary presented a draft of the survey she created on Catalyst to gauge student interest in joining a proposed SAA group. The group offered feedback. Mary will revise draft and bring to a future meeting.


  5. Listserv: Beth was commended for her work setting up a group listserv. She discussed her decision to create two mailing lists – one for group founders, one a more general group for everyone. Let Beth know if you would like to be added / removed from either.


  6. Western Washington University SAA student chapter: Kathleen had no progress to report on making contact with this group about possible joint membership with an iSchool branch. She will first check with the national SAA office about this and report back to us.


  7. Budget: Scott was absent; Stacy had no progress to report. They will work on emailing secretaries of other iSchool student groups for advice or possibly sample budgets, and report back to us.


  8. Representation for Mike’s meetings with iSchool student leaders: meetings are monthly; the next one occurs October 28. Kathleen will contact Danielle to add Gene as our representative. Scott and Stacy will be alternates.


  9. UW History & Museology departments (contact as possible group members): Scott was absent.


  10. Enrollment numbers for iSchool archive-related classes: JP contacted Judith for enrollment numbers for the iSchool’s archives class from 1996-2002. Numbers in these classes have risen, but so has the total number of students at the iSchool. JP will check back for total numbers in order to calculate percentages; she will also get numbers for the iSchool’s preservation class.


  11. First-year student interest: Julie and Stacy reported relatively low interest from their classmates in joining our group. They thought this might be caused by the new students’ feelings of being overwhelmed at starting the program and unsure of the differences between student organizations. Mary will include a question on our survey to find out what percentage of first-year students belongs to any organization.



  12. NEW BUSINESS

  13. Puget Sound Regional Archives: Julie described her experiences visiting this organization and suggested touring it as a future group activity. An idea was proposed to compile a list of similar possible activities, perhaps on our website.


  14. Current events: Stacy recommended an archive-related story recently posted to the iChat list.


  15. Next meeting leader: Mary appointed Gene.
